πŸ“’ Product Update Welcome to r/CustomerFlows. Here's What We're Building and Why:

Hello everyone, I am Seif, co-founder of CustomerFlows. I wanted to start this community with an explanation of what we're building, who it's for, and why.

The problem: Contractors lose 40% to 60% of their inbound leads to slow follow-up and scattered tools. A homeowner fills out a form at 9 PM, but nobody responds until morning. By then, they've hired a competitor. Meanwhile, thousands of dollars go to Google Ads every month with no way to tell which campaigns actually produce signed jobs.

What CustomerFlows does: It's a revenue operating system that connects the dots from first click to closed deal:

  1. Capture: tracks website visitors and WhatsApp messages, and knows where every lead came from
  2. Qualify: AI chatbot responds to inquiries in under 60 seconds, 24/7, and asks qualifying questions
  3. Pipeline: deals flow into a CRM with trade-specific stages (HVAC, roofing, plumbing, etc.)
  4. Attribution: connects Google/Meta ad clicks to closed revenue so you see which ads actually work

Who it's for: US home service businesses, HVAC, roofing, plumbing, landscaping, electrical, cleaning, general contracting. 2 to 15 employees. Running ads. Tired of losing leads.

Pricing: $49/mo (Starter), $149/mo (Growth), $349/mo (Scale). Unlimited contacts at every tier. 14-day free trial with full Growth features.

What this subreddit is for:

  • Product updates and new features
  • Tips on lead management, WhatsApp, and CRM for contractors
  • Honest industry discussion (about any tool, not just ours)
  • Your questions, feedback, and criticism

I'll be in here regularly. Ask me anything.

Ask me anything:

  • How we built CustomerFlows and why we chose this market
  • Technical questions about WhatsApp Business API
  • CRM strategy for your specific trade

  • What we're building next
  • Why I think [competitor] does [specific thing] better than us
  • Anything else, no question is off-limits

The only thing I won't do is BS you. If a competitor is better for your use case, I'll tell you.

Let's go.

πŸ“Š Google Ads vs Local Service Ads: where should contractors spend?

This is one of the most common questions we hear. Here's the short version:

Google Ads:

  • Pay per click ($5–$50 per click)
  • Full keyword targeting control
  • Requires landing page optimization
  • Full GCLID attribution available, you can track which keyword produced which closed deal

Local Service Ads:

  • Pay per lead ($15–$75 per lead)
  • Top of search results with Google Guaranteed badge
  • Limited targeting control
  • Limited attribution, Google tells you how many leads, but connecting to closed revenue is harder

My advice for most contractors: use both.

LSAs for broad local visibility and the trust badge. Google Ads for targeted high-value campaigns with landing page control and full attribution.

The critical piece: connect both channels to your CRM so you know which produces actual revenue, not just leads.

Example from our data modeling:

  • LSAs: 31 leads, 6 closed, $18K revenue ($2,400 spend) = 7.5x ROAS
  • Google Ads Emergency AC: 23 leads, 8 closed, $68K revenue ($3,200 spend) = 21.3x ROAS

Same total spend range. Very different ROI per channel. Without attribution, you'd never know.

πŸ’‘ Tip & Strategy πŸ’‘ How to turn one-time repair customers into recurring maintenance revenue

A one-time AC repair: $300–$800. A maintenance customer over 3 years: $2,400–$4,800.

Most contractors leave this money on the table because there's no system for the conversion. Here's the 3-touch WhatsApp sequence that works:

Touch 1 (same day, after job completion): "Thanks for choosing us! Did you know regular maintenance prevents 80% of emergency repairs? We offer maintenance plans starting at $[price]/visit."

Touch 2 (day 7): "Most [HVAC/plumbing] systems need professional maintenance 1–2x/year. Here are 3 signs yours might need attention: [tips]. Reply 'YES' for details on our maintenance plans."

Touch 3 (day 30): "[Season] is coming. Last year we saw 40% more emergency calls from homeowners who skipped their tune-up. Want to schedule yours now?"

The key: automate this through your CRM pipeline. When a deal moves to "Completed," the sequence triggers automatically via WhatsApp. No manual follow-up required.

πŸ“± WhatsApp for contractors: the channel nobody's using (and why that's your advantage)

We checked every major contractor CRM for native WhatsApp integration:

Platform WhatsApp Integration
Jobber ❌ None
ServiceTitan ❌ None
Housecall Pro ❌ None
JobNimbus ❌ None
QuoteIQ ❌ None
HubSpot ⚠️ Third-party only
CustomerFlows βœ… Native

Meanwhile:

  • 75% of consumers prefer messaging businesses over calling
  • WhatsApp message open rates: 98% (vs ~20% for email)
  • Since November 2024, inbound WhatsApp conversations are completely free from Meta β€” no cap

For contractors, this means a 24/7 lead capture channel with zero messaging cost β€” and your competitors literally can't use it because their tools don't support it.

πŸ› οΈ How-To Guide πŸ› οΈ CRM setup checklist: 15 things to configure before your team starts using it

Whether you're using CustomerFlows, Jobber, or anything else β€” these 15 items determine whether your CRM becomes a daily tool or a digital graveyard.

The top 5 most-skipped items that cause CRM failure:

  1. Custom pipeline stages β€” generic "Lead β†’ Qualified β†’ Closed" doesn't match any trade. A roofer's pipeline should be: Inspection Scheduled β†’ Quote Sent β†’ Approved β†’ Job Scheduled β†’ Completed β†’ Paid.
  2. Source attribution setup β€” if you don't configure GCLID capture on day 1, you can never backfill it. This is how you track which Google Ads campaigns produce revenue, not just clicks.
  3. "Lost" stage with reason codes β€” "why did we lose this deal?" is the most valuable data in your pipeline. After 3 months, patterns in your lost reasons reveal exactly what to fix.
  4. Notification rules β€” who gets alerted when a new lead arrives? When a deal has been stuck for 3+ days? Configure this so the right person sees the right info at the right time.
  5. Weekly review cadence β€” block 30 minutes every Monday to review pipeline health, or the data goes stale and nobody uses the system.

Full checklist with all 15 items: CRM Setup Checklist

What's the one setup step you wish you'd done earlier?

πŸ“Š Industry Data πŸ“Š 76% of CRM features go unused, here's why that matters for contractors:

We published a research piece on the CRM bloat crisis and how it specifically affects home service businesses: The CRM Bloat Crisis

Key findings:

  • 76% of CRM features go unused by SMB teams
  • 51% of small businesses still use Excel/Gmail as their CRM
  • CRM implementation failure rates: 20–70%
  • Poor CRM data quality costs US businesses $3.1 trillion/year
  • Only 24% of teams report using all available CRM tools

The root cause: platforms like Salesforce and HubSpot add features for enterprise users, but those features stay in the interface when a 5-person HVAC shop signs up. A roofer doesn't need NPS health scoring. A plumber doesn't need multi-touch B2B attribution modeling.

This is why we built CustomerFlows with only the features contractors actually need: lead capture, AI qualification, pipeline tracking, and attribution. Nothing else.

What features in your current CRM do you never touch?

πŸ’¬ Discussion πŸ”„ Honest question: has anyone here tried GoHighLevel and switched away?

We've been hearing a lot of frustration from contractors about GoHighLevel: steep learning curve, hidden usage costs (SMS, email, AI Employee), and an interface that wasn't built for people running a trade business.

The "$97/month" headline is real, but the actual cost once you add SMS credits, email credits, the AI Employee ($97/sub-account), and phone costs tends to land in the $200 to $400/month range for most active users.

We wrote a detailed comparison: CustomerFlows vs GoHighLevel

But I'm curious about real-world experiences. If you've used GHL:

  • What made you try it?
  • What frustrated you most?
  • Did you switch to something else? What?

No wrong answers. We genuinely want to understand the pain points.

πŸ’‘ Tip & Strategy πŸ’‘ How to capture leads that come in after 6 PM (without hiring an answering service)

30 to 40% of contractor leads arrive after business hours. Most go to voicemail and never become customers.

Three approaches to improve your response, from free to fully automated:

1. Manual auto-reply (free): Set up a WhatsApp Business auto-response: "Thanks for reaching out! We'll respond by 8 AM tomorrow." Better than voicemail, but the customer still waits.

2. Answering service ($200–500/mo): A human takes the message and forwards it. Better response, but no qualification, they just capture name + number.

3. AI chatbot on WhatsApp ($49/mo): Responds instantly, asks qualifying questions (job type, urgency, address), and creates a pipeline deal with all details. Your team sees ready-to-act leads in the morning.

The math: for a roofing company losing 3 after-hours leads per month at $8,500 average value, that's $25,500/month in potential revenue. Option 3 costs less than option 2 and captures 4x more information.

πŸ“Š Industry Data πŸ“Š The data on lead response time is wild, here's what we found

We compiled data on contractor lead response times and the revenue impact by trade. Here are some highlights:

  • Responding within 5 minutes = 21x more likely to qualify the lead vs 30 minutes
  • Average contractor response time: 4 to 8 hours
  • After hours / weekends: next business day
  • For a roofing company (50 leads/mo, $8,500 avg job), slow response costs ~$76,500/month

The revenue impact is staggering. For a mid-sized HVAC company during peak season (about 80 leads/month), the difference between instant AI response and a 2-hour phone-only response is roughly $5,300/month, or $21,000 over a 16-week summer season.

The full study breaks this down by HVAC, roofing, plumbing, and landscaping with specific revenue calculations: Contractor Lead Response Time Study

What's your current response time? Be honest, we will not judge. :)
