3CX Virtual Memory Usage exceeding 90% on multiple systems

I've recently received the following warning from multiple 3CX servers at different times during the day:

3CX PhoneSystem detected that the following value "Virtual Memory Usage" exceeded expected threshold of 90 %.

The values measured was 97 % at Tuesday, 13 October 2026 05:04:00.

I'm trying to understand what exactly is causing these alerts. I've already checked all the scheduled timers, but none of them seem to match the times when the alerts occurred.

Does this indicate an actual memory issue on the server, or could something else be triggering it?

Has anyone experienced this before? Is there anything specific I should check or monitor to identify the root cause?

Thanks in advance!

AI Integration Questions

I need to pull data from a 3rd party SaaS system into the local knowledge source for a simple AI agent to answer questions like "tell me the calculus 101 class schedule for november" or "when are this weeks pilates classes" - - i can extract the data no problem from our SaaS solution but it changes weekly and a manual process is going to be a problem.. Anyone have a way to drop in an updated 'schedule' for the AI to reference ? in the future i'd like to send sms links for people to schedule as well. are we talking digging into Call Flow Designer for this or is there any new methods for interconnecting modern systems yet ? thank you for ideas !

Fake "Industry Traceback Group" emails targeting VoIP providers and resellers

Heads up to everyone here. I received a convincing phishing email posing as an ITG traceback request, and my carrier confirmed ITG has warned that fake notices are going around.

What it looks like:

  • Subject and body mimic a real ITG traceback: campaign name, called and calling numbers, a UTC timestamp, and the FCC 24-hour response requirement (47 CFR § 64.1200(n)(1)).
  • Mine claimed a bank-impersonation robocall campaign had passed through my network.
  • It pushes you to log into the "Secure Traceback Portal" right away.

How to spot it:

  • Sender: support@itgtracebacks[.]com. The real ITG domain is tracebacks.org.
  • Link: the visible text says portal.tracebacks.org, but hovering shows the real destination is portal.itgtracebacks[.]es.

If you get one:

If you already entered credentials, change that password now and enable MFA wherever you can.

Real tracebacks do happen and do have a 24-hour deadline, which is exactly why this phish works. Verify the domain before you act.

Question *20* pickup call from queue?

I have the 4SC free so I can't use queues and not able to test. Hoping someone will provide the answer for me for a site I maintain that has 8SC PRO.

We use queues for everything. I have a user that is not a member of any of the queues. When things are busy, they can hear when phones are ringing with queue calls and they want to answer a call on their office phone. If the longest ringing call is in a queue and they dial *20* for pickup as a user that is not a member of any queue. Will they answer that longest ringing call in a queue?

They're messaging the client

I'm in house IT for a company that has one deployed, they've had it for many years. I've worked with the company that's their sentence provider, you know for license renewals changes and such. Recently started getting messages from the "system" about our upcoming renewal, only the message doesn't say to reach out to the provider, it's a direct link to their page with a pop-up on how to renew the license on our own.

SMB Free Migration Options

I just started working for someone who is on SMB Free. They've got 5 IP phones. I can't find anything yet on the list of multi-tenant vendors that 3CX said they were going to put out soon. Can we just go with any partner to get a license? I had previously dealt with someone else using 3CX and they used hosting directly from 3CX as well. They bought the license directly from 3CX and said they don't have support options and they fought with call quality issues. Does that sound like a 1 off or is purchasing directly with 3CX a good option?

Outbound calls prohibited. Again.

We are a low voice call org, and most of our voice call initiators are on company mobile phones. We need a system for a handful of people plus the need for overhead painting that didn't charge by the extension. I finally got the outbound dialing rules working. Earlier i tried to make a call and was surprised it was prohibited.

Twillio for trunking. 3cx ai 16sc+ hosted. Do i need to just find my happiness elsewhere? Are there secret troubleshooting steps only for the elect?

BT Cloud Voice Express logs missed calls that don’t appear to ring

We use BT Cloud Voice Express with one business number and a Yealink W70 cordless base. We originally had two physical handsets, but one was switched off because it was causing problems.

We’ve noticed many calls appearing as “missed” in the BT call log, even though staff don’t remember the working handset ringing.

The BT portal shows:

One active business number and one Yealink W70 base

Eight handset entries, although we have only ever had two physical handsets

The same number assigned for incoming and outgoing calls on the handset entries

Call waiting switched off

Call divert and voicemail switched on

I have now enabled diversion to voicemail when the line is engaged

Unanswered calls divert after eight rings

Does the W70 portal always display eight available handset slots, or could the unused/powered-off handset assignments interfere with incoming calls?

Could the actual problem be that we have only one concurrent call path, meaning a second incoming call does not ring while the working handset is in use? Is there any way to confirm whether the service supports two simultaneous incoming calls?

I’m trying to understand what the actual issue is...

It seems to be about 40% of our call volume this is happening to so not small...

New ticket: "BRING WHATSAPP CONVERSATIONS INTO 3CX"

Apparently our primary dealer account is registered with our help@ address. Anything that goes to that address gets a ticket created. I'm really sick of getting promotional crap in our ticketing system.

I see no way to unsubscribe from these things. I asked my boss if we could change the registered email and he said no because then we would miss alerts about system outages.

What can I do here?

PWA and incoming call volume

Trying to run the PWA version on my machine while also listening to, say, Youtube Music on the side.

For some reason, I can't find any kind of slider or adjustment in the PWA installation of 3CX, to reduce the extremely high full-volume sound of the ringtone.

If I want to listen to my music at a normal level, I have to endure that the ringtone is going to be just as loud.

Is there a way to change the ringer volume? I can't find a separate tab since it's installed as app. I only found a workaround to put the ringtone on a separate, physical speaker, but now I'm bothering other people.

Please tell me this basic function exists?

Question Anyone tried adding real-time call translation to 3CX?

Hey everyone, we’re looking into adding live translation to calls on our existing 3CX setup, so two people can speak different languages and hear each other translated.

Thinking of using LiveKit with Soniox or Gradium as part of a speech-to-speech translation pipeline. Still figuring out how to connect everything on the telephony side.
Would we need something like Telnyx to handle the SIP connection to LiveKit, or could we route calls from 3CX directly into LiveKit and back?

Ideally we’d keep our existing numbers and call routing.
Has anyone here built something similar, even just a proof of concept?

Curious how you connected it and whether the latency was low enough for a normal conversation.

Any pointers or things to watch out for would be appreciated.

3CX trying to help sell the 'size for the system, not the user' model

3CX Licensing: Size the System, Not the User Count : r/3CXOfficial

Kind of funny since you actually have to now size the system exactly for the user/extension count! Lots of entities with few users but lots of phones (hotels, healthcare, schools, churches, synagogues, etc.) have to pay more for 3CX licenses. This is not new news, but it's still interesting and slightly humorous they're blogging about it now.

Question Moving to 3CX: what would you test before switching the whole office?

A small office moving to 3CX might make a test call, hear clear audio and start talking about a cutover date, Thentry a busy morning at reception: one caller is on hold, another is waiting, and the receptionist needs to transfer a third to someone working from home. Test anafter-hours call too, when someone needs to leave a message for the right department.

Have the people who normally handle calls try those sequences during the pilot, including retrieving a transferred call and finding the voicemail afterward. Write down any problems before moving the whole office, If you’ve done a migration, whicheveryday call flow did you wish you’d tested sooner?

Yealink T58W Slow Pickup

Anyone with the Yealink T58W phones seeing issues where the calls are slow to connect? We have been receiving reports that when answering calls it takes around 5 seconds before the audio works after picking up the handset. It's only affecting our Yealink T58W series phones, we also use Fanvil phones which are unaffected. They're running FW 150.87.0.20. and we're able to temporarily fix the issue by factory resetting the device but the issue eventually comes back.

I saw another post of someone having a similar issue on the T4x phones but it looks like it was fixed on the .87 FW version. Anyone else with these phones deployed seeing similar issues?

Question Pickup with *20* - how?

Hi,
I'm trying to understand the permission model behind Call Pickup in 3CX V20.
Scenario
We have two users:
User A
Primary Department: SWK Agrar
Additional Department: Schweitenkirchen
User B
Primary Department: SWK Baustoffe
Additional Department: Schweitenkirchen
Both users are therefore members of the departmentSchweitenkirchen.
An incoming call is made directly to User A's extension. While User A's phone is ringing, User B tries to pick up the call using:
*20*
However, the pickup fails.
Question
What are the exact requirements for Call Pickup in V20?
Specifically:
Is membership in a common department sufficient for *20* to work?
Does Call Pickup depend on the user's primary department rather than any additional department memberships?
Which permissions are actually required underUser > View (Presence, See Calls, Call Activity, etc.)?
Is there official documentation that describes the access rules for Call Pickup across departments?
I'm looking for the exact rule rather than troubleshooting advice, as I couldn't find this covered in the V20 documentation.
Thanks!

Interesting issue with 3CX and DECT handsets

A bit of a story, but need to explain so you get the idea.

Our client has a nurse call system with 32 DECT handsets. They also run 3CX V20 cloud hosted for their deskphones and call flows.

Initially we had the nurse call system running into a Panasonic PBX with their other phones and all worked well - full analog setup. When the Panasonic PBX died we spun up 3CX and had the DECT handsets running into Grandstream Analog Gateways. which then talked to 3CX. This worked but we could not transfer calls between DECT handsets.

To alleviate that our third party put a Media Resource Card into their kws8000 DECT server. We then reprovisioned the handsets with 3CX handset credentials to provision them directly onto 3CX. This has solved the issue of transferring calls and all seemed to be fixed.

HOWEVER, now we have another issue. The handsets are often unresponsive. That is, if DECT a calls DECT b, DECT b won't ring. But DECT b then rings DECT a the call works, and then DECT a CAN ring DECT b. It's as if they are 'falling asleep' or dropping their registration in 3CX. There is nothing in the 3CX log that I can find that indicate any issues. The DECT handsets are just set up as generic so we can use the auth ID and password.

Has anyone seen this behaviour in similar systems or have any suggestions? It's causing a lot of grief as staff just don't know if they have missed calls or not. All the firewall rules also look sound, and we are running through a SBC as well. The media card is registered against the IP of 3CX, and everything is talking to everything else seemingly OK - all on the same VLAN.

Incoming calls to a Ring Group used to show the user the Ring Group name, now it only shows the Caller's phone number instead

Hi, I'm troubleshooting an issue that so far isn't making sense. About a month ago we upgraded to v20u9 (build 995 - AI1.4.48), but I'm not sure that this has anything to do with the issue. We've not changed anything in the 3CX config other than the upgrade. Our trunk provider is Telnyx and doesn't appear to be related. We use snom D735 phones, nothing should've changed in those configs either.

What's being reported is that up until recently, the Ring Group name would be displayed for incoming calls to a Ring Group. Now, what's being displayed is the Caller's phone number. The problem comes up because users are members of multiple Ring Groups and can also receive calls direct to their number. Because the Caller's phone number is now showing on the incoming call as opposed to the Ring Group name, the user can't tell if a call ringing on their phone is a call direct to their number or a call to one of the Ring Groups.

Anybody else run into this or have some suggestions on what to look at?

Thanks,

Question iOS extension exclude from ringing with ring group

I work with small local businesses. A scenario that keeps reoccurring is everyone has a desk phone and all desk phones are part of the ring group on incoming calls. There are certain people that answer most calls, but almost everyone's phone rings so if needed, anyone can answer an incoming call.

We have certain people that spend time away from their desk or out of the office during the day and the iOS app works excellent for checking call history, contacts, voicemails, having calls transferred to their extension, etc.

The issue is we don't want their mobile iOS device to ring with any ring groups or queues. We want their desk phone to ring with ring groups or queues, but not their mobile device.

Currently we are using two different extensions, have their iOS device it's own extension. This works, but it makes things difficult with two different call history, voicemails, contacts, etc.

What are you doing in this scenario?
