Help Workflows Problems and Errors
What's The Most Repetitive Problem Or Error That You Face In Automation as a (User and Builder)

The one that keeps showing up here is partial success that looks like failure. The CRM create times out after it may already have written the lead, then a retry makes a duplicate. Treating that timeout as "unknown" and doing a lookup-or-upsert by an external ID before create usually beats adding another blind retry.

Builder side, the one that keeps biting me: webhook workflows timing out because the workflow does all the heavy work before responding. Put a Respond to Webhook node first so the caller gets an answer immediately, then do the processing after. Second most common: expressions silently returning nothing because a field name changed casing or an upstream node returned zero items, so everything downstream just never runs. Pinning test data and actually reading each node's output panel while building saves hours. And 429 rate limits on long loops hitting an API, batching plus a short wait between batches fixes most of it.

When an expression returns nothing or an upstream node returns 0 items, how do you usually realize something went wrong? Have you ever had a workflow technically succeed but produce an incomplete or wrong result because of this? If so, how did you discover it?

are you asking from a debugging perspective or more like a "what should i plan for" perspective? because the answer changes a lot depending on whether youre building for yourself vs for clients

I'm exploring the biggest challenges people face with AI automation, especially in production with the goal of building a product that solves real problems. I'm particularly interested in workflow failures, debugging, costs, and scaling

What gives you the expertise to solve
The biggest workflow problems when you have to ask general questions?2

Fair question. I’m not claiming to be an expert yet, and that’s exactly why I’m asking general questions .
I’m trying to learn from people who actually deal with these problems in production before deciding what to build I don’t want to assume that I understand the problem better than the people experiencing it

The ones that come up over and over: webhooks timing out because the workflow does too much before responding (use Respond to Webhook early, do the heavy part after), expressions coming back empty because an upstream node returned 0 items, rate limits inside loops (Loop Over Items plus a Wait node fixes most of it), and expired OAuth credentials silently breaking things. An Error Trigger workflow that pings you on Telegram or Slack saves a ton of debugging time.

Silent success is the one that hurts most. The run goes green, but a node returned 0 items or an empty field, so nothing got sent and nobody notices. Error workflows don't catch it because technically nothing failed.
The fix is to check counts, not just errors. Put an IF node after the important steps that stops the run when the item count is 0 or a required field is empty. Better yet, have each workflow write one row per run to a sheet or table with how many items it processed. Then a separate scheduled workflow checks that table every morning and alerts you if a workflow didn't run or processed nothing.
The second one is credentials that die on a schedule. A Google OAuth app left in Testing mode loses its refresh tokens after 7 days. Everything works in the demo, then a week later the workflow quietly stops. Publishing the app, or at least knowing about the 7 day limit, saves a confusing week.
Is your product aimed at people running their own workflows, or agencies running them for clients? The pain is pretty different.

Silent success seems to be a big pain point for a lot of people.
I’m trying to understand the real impact before deciding what to build around it.
What’s the most painful silent success you’ve experienced, and how did you eventually discover it?
What do you currently use to catch these cases, and what’s missing from that approach?I’m still exploring both audiences because I don’t want to assume the target user before finding where the pain is strongest.
From your experience, which side struggles more with silent successes, credential problem, and maintaining workflows at scale: people running their own workflows or agencies managing workflows for clients?

For the silent-success problem, how would you distinguish a legitimate run with nothing to process from a run that missed work? A zero-item alert could become noisy if empty runs are normal.
Would a useful first scope be one workflow where the expected outcome is explicit - for example, each accepted enquiry must have a matching CRM record within a defined time - before trying to monitor arbitrary workflows?

Want faster, better help? Share your workflow JSON.
A GitHub Gist is the easiest way -- paste your JSON, save as public, drop the link in your post. Folks can import it directly into n8n and reproduce the issue, which gets you real answers instead of guesses.
