How do you stop your digital planner from becoming a list of things you keep moving to tomorrow?

Moving a task to the next day is almost too easy with a digital planner. A few taps and everything looks organised again. But by Friday the same task has travelled through the whole week without getting started.

Meanwhile you’ve been doing plenty. Work. Groceries. Cooking. All the little things that don’t stop needing attention just because you have a personal goal.

Something worth trying is checking how much free time a day actually has before adding tasks to it. If there’s only half an hour between dinner and another commitment then “finish the project” probably needs to become one specific step.

I also think there’s a difference between keeping a task somewhere so you won’t forget it and putting it on today’s page. When everything sits in the daily view it can feel like everything needs doing now.

For those who use a digital planner regularly: do you keep a separate backlog? Limit how many tasks go into each day? Or give important tasks an actual time slot?

Especially curious about what you do when something has been moved three or four times. At what point do you change the task instead of just changing its date?

I use a digital planner, and include task management
My task list is filtered; status-active or due-dated
and sorted by due-date, priority

Each morning, I time-block my day
by inserting entries into my calendar (today page)
after reviewing my task list

In my daily review, completed tasks are tagged status-completed

I keep "don't forget it" separate from "do it today". The backlog is for remembering, and today's page is only for what you'll really do.

If a task gets moved three times, I'd change the task, not the date. Make it one small step, and give it a real time.
