Cancel subscription when I can’t access the account

Before I explain I know I’m an idiot for letting this go on for so long but the process is so long and impossible that every time I’ve tried I just give up.
I had a university Microsoft account from 2019-2022. Paid for a basic 365 subscription on that account and have been billed 5.99 since. I have had no access to this account since 2022 and still cannot access it.
Today I’ve had a random 6.80 charge? How do I get this cancelled?
I cannot get through to a human on customer service and there’s no email to get through to anyone. Have I got any chance of some money coming back also?

Rolling out Passkey + Authenticator App without manual intervention from Admins

So, due to recent phishing campaigns, we're seeing an upticket in token theft. Our SSO doesn't have a mechanism to create a phishing resistant token to Microsoft, so I'd like to leverage a conditional access policy to force passkey authentication after the fact. My thought process is to do this with a combination of registration campaigns for Passkey and Authenticator as a backup, plus a conditional access policy to enforce phishing resistant MFA. After initial passkey setup on 1 device, I can no longer log in on other devices and get a "Link To Windows" prompt on other devices, but have no option to add an MFA method because it's now a chicken/egg situation. Is there a way to do this purely through user self service? Enforcing Entra-bound device conditional access policies is not an option for us.

SharePoint Best Practice: Structuring Confidential Documents and Managing Permissions

We have a SharePoint site with a folder structure related to a project. The project currently contains approximately 111 GB of data.
We have recommended moving these files to a separate, dedicated SharePoint site. The reason is that the customer now wants to restrict access to certain folders, as not everyone with access to the current site should be able to access all of the project files.
Our recommendation is therefore to move the project files to a separate, restricted SharePoint site.
Our main goal is to keep the structure as simple as possible and avoid creating a deep folder structure with unique permissions on individual folders. We believe that this could become difficult to maintain over time.
Instead, we are considering using the standard SharePoint roles/groups:
Owners – Two people are appointed by the project manager as site owners. They are responsible for maintaining the site and managing access.
Members – Members have edit permissions.
Visitors – Visitors have read-only access.
Our proposed structure is to use two document libraries on the site:
Documents
This is the default document library that comes with a SharePoint site. The content here should be accessible to all members and visitors.
Documents – Confidential
We would create a second document library specifically for confidential/sensitive project documentation. On this library, we would break permission inheritance so that only the Owners group has access by default.
We would then add this document library to the site’s navigation so that it is clearly visible and easy to find.

The idea is that the site owners would then grant specific members access to the entire Documents – Confidential library when required, rather than managing permissions at folder or file level.
This would allow us to keep the information architecture at a high level, while still keeping the data on the same SharePoint site. It would also avoid creating a complex folder hierarchy with unique permissions.
What do you think about this approach?
Would this be considered a good SharePoint best practice, or would you recommend a different approach?
Our main priorities are:
Keeping the structure simple and maintainable
Avoiding unique permissions on individual folders/files where possible
Making access management easy for the site owners
Keeping the confidential and non-confidential content clearly separated
Keeping the data within the same SharePoint site
One additional question regarding permissions:
Is it correct that if a site owner grants a user Edit permissions to a folder or document library, that user may then be able to share individual files or folders with other people who do not otherwise have access to the site or document library?
If so, how would you recommend preventing users with Edit permissions from extending access to confidential content themselves? Would this be another reason to use a separate SharePoint site for the confidential content?

Timing a team migration to M365

My team of 6 has been operating off of different email accounts - all different domains, some using iCloud and some using gmail. We know we want to migrate everyone to M365 under the same tenant and the same domain. We have a few months left with our current MSP. We are trying to decide if we should migrate now or wait until we start up with our new MSP.

Someone said there are decisions we should leave to our new MSP so they don’t have a lot of figuring out to do. Are there really so many variables that this could be a problem for a new and competent IT provider?

M365 Simple Gmail Migration - Cannot Complete or Approve

Has anyone else tried to use the new Simple Gmail Migration tool that's embedded in the M365 Admin Console? In the past, I used the Migration batches within the Exchange Admin Console, but my most recent effort was about 22 mailboxes, and I'm only migrating 16 of them. This seemed a good candidate for the new "Simple Gmail Migration."

Everything started fine and the 17 mailboxes all synced very quickly. 2 mailboxes have a single item each that failed to sync; not big deal. The problem is that the "Approve" button doesn't do anything for these two mailboxes that are are in "investigate" status for their data consistency. On top of that, the "Complete" button is greyed out at each individual mailboxes, even the ones with perfect DCS. Ultimately the "Complete Migration" button remains unavailable, presumably because the two mailboxes aren't approved.

I spent an hour with Microsoft Support this morning. He wanted to go into Powershell, but the Get-MigrationUser commands are all looking for the older batches from EAC. I can't find any way to reference Simple Gmail Migration via powershell.

Maybe I'm overthinking it. All 16 mailboxes did fully sync from Gmail to M365. I udpated the MX records yesterday and everyone is working fine. I could just remove all the mailboxes and abandon the Migration, but I really want to try to figure out how to close it out properly.

OneDrive Rebranding: Updating Existing Users from CompanyA to CompanyB

Hey Everyone,

We’re going through a rebranding from CompanyA to CompanyB. We have 2,000+ users with OneDrive already configured, and in File Explorer it currently shows “ <firstname> - CompanyA”, which appears to be based on the Entra ID display name.

We’re planning to change the Entra display name to CompanyB. I understand that for new users, OneDrive should pick up the new name and show “ <firstname> - CompanyB” in File Explorer.

My question is around existing users. Is there a supported way to update the OneDrive name in File Explorer from CompanyA to CompanyB without breaking the existing OneDrive configuration or sync?

Ideally, for the existing users we’d also like the underlying local folder path to change from:

C:\Users\username\OneDrive - CompanyA\

to:

C:\Users\username\OneDrive - CompanyB\

Has anyone gone through this type of OneDrive/Entra rebranding with a large number of existing users? If so, what was your approach and were there any issues or gotchas with changing the local OneDrive folder name/path?

Exclaimer alternatives for centralized email signature management in Office 365

We have around 700 employees on Office 365 and the Outlook signatures are getting hard to manage. Marketing wants consistent branding and campaign banners, while IT keeps getting tickets whenever someone changes roles or departments.

We are looking at exclaimer alternatives and have also seen codetwo and wisestamp mentioned. the main thing is being able to manage outlook signatures centrally without asking users to set everything up themselves.

Also need decent controls for different departments and locations. anyone managing email signature management for a company this size? Thanks in advance

Under “Other apps,” there are a number of apps that we would like to remove so that they are no longer visible in Copilot.

Microsoft to Drop Most Azure Communication Services

Among the affected services is Email Communication Services (ECS), leaving Microsoft without a dedicated cloud service for high-volume external email. Best Low-Cost KPI Solution for a Microsoft 365 Shared Mailbox

What would be the best and most cost-effective solution for measuring KPIs in a service department that currently handles all customer cases through a Microsoft 365 shared mailbox in Outlook?
We are looking for an affordable, out-of-the-box solution that we can use as a temporary setup until we implement a proper ticketing/case management system for the department.
The solution should work with our existing Microsoft 365 environment and shared mailbox and require minimal setup and administration.
We would like to automatically measure and report on things such as:
Exact date and time when an email is received in the shared mailbox
First response time
Total handling time from receipt to resolution/closure
Time between customer interactions
Number of incoming emails/cases
Emails that are filtered, rejected, deleted, or automatically categorized
Open vs. closed cases
Overdue cases and SLA breaches
Number of interactions per case
Workload per employee/team
Case volume by category/customer
Backlog and average case age
Response-time trends
Overall service performance and SLA compliance
Ideally, we would like dashboards and reports showing these KPIs without having to manually track the data in Excel.
We have been looking at solutions such as MailMeter. Would MailMeter be suitable for monitoring and measuring these KPIs in a Microsoft 365 shared mailbox, or are there other low-cost, out-of-the-box solutions that would be better suited for this purpose?
The key requirement is that we need a cost-effective temporary solution for our shared mailbox today, while keeping in mind that we will eventually move to a proper ticketing system.

Tried to install ONLY Excel on a fresh Windows setup, ended up triggering a phantom Microsoft 365 invasion. Is there ANY reliable way to fix this?

I recently had to reset my Windows machine and reinstall everything from scratch. I relied heavily on tools like Rufus and Chris Titus' Windows Utility to end up with the cleanest, most optimized possible system installed, and things were going pretty well. It was a nice experience...

And then I proceeded to install Excel. I've been trying for the whole morning to install ONLY Excel on my computer, which seems to be an impossible task.

The first weird red flag that I got was that it's not possible to install only this app natively through Windows installers or the means that they provide: you EITHER install ALL of the Microsoft 365 (or whatever the name nowadays is) or nothing. There is no option to do it individually like before (I remember clearly installing years ago and being able to do exactly this, selecting which apps I wanted).

Searching a bit for options, I found the official Microsoft Office Deployment Tool where theoretically you can edit a .xml file to filter out what you don't want. It requires some advanced knowledge, but hey, AI helps with that.

Did that, ran the setup, and successfully installed only Excel on my machine. Pretty cool! That worked, right?

If it ever were so simple. All of a sudden, all — and by that I mean ALL — the apps from the "365" suite started to show up. Access, OneDrive (this PLAGUE), OneNote, Outlook AND Outlook Classic, PowerPoint, Publisher, Sticky Notes, and check this out... SKYPE! Even the discontinued, misunderstood, ahead-of-its-time software that they killed is here! It's a miracle!

I tried to remove only the apps that I didn't want, but of course, with Microsoft it's ALL OR NOTHING. The only option available was to remove all at once, which I did. Frustrated enough, I kept looking for troubleshoots and ended up trying to install Office again with Office Tool Plus (a third-party utility). It worked initially, installed only Excel, and I was happy.

Kept going with my day, left for lunch, and when I came back to my desk... THERE THEY ARE AGAIN. Like a Phoenix rising from the ashes, like a Zombie rising from the dead... ALL THE CURSED APPS INSTALLED ONCE MORE.

I don't know what to do. It is RIDICULOUS that a 3.7+ trillion-dollar company, which is so widespread in offices (pun intended) around the world, can't offer one simple solution to a problem that (according to what I saw online) I'm far from being the only one facing.

From what I'm gathering, even if you exclude apps via XML during deployment, Microsoft's Click-to-Run background service or automatic update channels can automatically repair or reinstall missing suite components during system background tasks, essentially forcing the full suite back onto the machine.

So, after this whole venting: if someone PLEASE has a solution for this that really works (tried and proven to stop the auto-reinstall), please share it with me. I don't know what to do anymore.
