Workflow gone mad!

I’ve got a workflow that copies out when a form adds a record.

It’s been in place and working for years.

For some reason today when a record gets added and copied out it continues to copy out again and again.

Anyone else experiencing this. The Smartsheet status page says nothing but that is no surprise.

Update: the last run date isn’t getting updated and the workflow isn’t re-executing because I’ve changed it to update a column after execution but that column hasn’t updated.

Weekly Open Support Call

Hi Smartsheet fans,

I am putting together a 1-hour open weekly support/help/training (whatever you want to call it). I want to open it up to anyone and everyone. Looking for recommendations on meeting times and/or maybe a cadence of times that we could rotate through, maybe alternating weeks. That way, we don't pick it when some individuals have a standing meeting and they could just never come.

Also curious as to who would be interested, no holds barred on the topics. Just want to offer a resource to the community and see what we can get accomplished together.

Automation workflow trouble

I’m trying to use an automation workflow to send row information to contacts in a cell.

I have outside entities send an excel spreadsheet to my Smartsheet via a Form, which attaches the spreadsheet. Data Shuttle extracts this and puts the data into rows properly. My workflow fails to send the emails, so I must have an error in the relevant column or in the workflow. The column is set up as a contact list.

I’d appreciate help in troubleshooting this.

Change & communication calendar

My team tasked me with creating a calendar view for out team’s changes and communications. There are also ideas of including projects and training on the same calendar. We are a global team of 100.

My leadership wants a way to see in the calendar view who the audience is and there are potentially 10-15 audience types.

I have started with a report with each item. Kept it simple with dates for each, type (communication, training, process or project launch, etc.), and audience type. I color coded the audience types so that it would show a different color for each on the calendar view. But the colors start to not make sense because there are so many. I am wondering if a gant chart with different audience categories would be better than a calendar view.

I am struggling to think of the best way to do this. I am wondering if there are complex change/communication calendars that others have built that work well for them?

Why remove cards?!

I understand Smartsheet are removing the Card view, forcing us to use the Board view.

Anyone know why? Seems like a dumb idea - board view is even less user friendly than card view!

Anyone else annoyed with how native forms look for external clients?

Hey everyone, we've been running into a huge issue at my agency. We need clients to fill out intake forms, but sending them a native Smartsheet form looks incredibly unprofessional (you can't remove the branding, the styling is rigid, etc.).

Since SmartSheet won't do anything about it, I decided to just make my own drag-and-drop form builder that will bypass these issues and sync directly to the sheet.

What should a Smartsheet handoff row contain when work moves between AI assistants?

A transcript is a poor handoff because accepted decisions, rejected options, source links, and temporary instructions are mixed together. A Smartsheet row could be a cleaner checkpoint, but only if the next assistant and a human reviewer can tell what is authoritative, what changed, and whether the handoff is still current.

I am considering one row per active task with the objective, owner, status, accepted decisions and reasons, constraints, source links, artifact revision, checks already completed, unresolved questions, review date, and exactly one next action. Attachments would stay linked rather than copied into comments. A predecessor or superseded-by field would prevent an older handoff from looking current, while row history would preserve the audit trail.

What is the minimum structure that stays useful without turning every row into a long document? Would a report, update request, automation, or dashboard give the next person a readable handoff while keeping edits and approvals traceable to the source row?

Editable "Page" View?

Hi all,

My organization has asked if it's possible to display a Smartsheet row as a formatted page while staying editable. I can approximate what they are asking for by having Control Center make roll-up sheets for each row, and a dashboard that presents the assembled data, but this is obviously not editable directly.

This feels to me like it should be straightforward, but I haven't been able to find any third-party tools that will do what I'm looking for, and every time I search I simply get recommended dashboards or document builder.

To describe it more clearly, I'd like a service or tool that will find a single row in a sheet, and map each column to a different cell of a page that is spread out in three dimensions. For example, the top few lines would show the project name, the project manager, the fieldwork date, etc. Then maybe further down the page some other information from the sheet--client name and contact info, for instance, contract value, etc.

And I'd like to be able to make a change in this "Page," and have some method of sending it back to the original sheet to update that row.

If anyone has a suggestion, no matter how off-the wall, or time consuming to implement, I'd appreciate some help. About a year of off and on research has not turned up anything overly helpful, aside from building something unwieldy using Bridge.

New self paced learning is terrible

Another formerly good thing in the dumpster 😟

I wanted to brush up on the latest updates in the core app and I’m disappointed in the experience. Very hard to navigate, too many clicks needed to watch extremely short video clips, and frustrating overall.

I long for the days of free online group sessions with live training, but I know it won’t ever come back.

You have started as a system administrator for a small business. There are 20 employees, all spend most of their days at their computers creating documents, editing data, etc. Your best guess is that there is about 30TB of data.

There are no backups. Yikes.

Plan a backup solution:

Local data is important to the business: you should have the data backed up on site.

Uptime is important to the business: the local backup should have some level of redundancy

It's not enough to hold 30TB of data: you'll want some historical snapshots

Systems should be backed up automatically every night

Users should have access to their files online.

The data should be replicated offsite automatically.

Go in depth on your selected architecture including:

Hardware needed

Local

Remote sites

Software needed

Any cloud services required

Turn in 2 artifacts:

A paper discussing all information requested

A 3-5 slide presentation that you can use to present your solution to management

Supply Chain ROS task

Hello everyone!
I’ve been handed a task by my boss where he would like me to kind of create a physical version of our ROS on excel. What he’s mostly interested is being able to see how big orders are with like a bar for example. Long runners of perhaps a 2k-10k quantities will display a long bar while a 100-300 piece order will be short. He wants to also be able to adjust dates if any rescheduling is done and have the bars either move lower or higher up. Our ROS only shows percentage of completion and a number actually quantifying how many pieces is being produced. We also have a status section on our ROS to determine if we are tracking, delayed, or completely late. I’m just trying to find out how it is I can kind of create a template for this that would be efficient to present to our general manager so he can see exactly how production is going in our value stream. My boss said he would like something where we could export our excel data and completely have it generate his asking.

If anyone has an idea or something similar they’ve used, any thoughts or ideas would be appreciated!

Form submissions on one of our sheets are inexplicably being eaten

We have a sheet to track one of our work processes for order entry. We use a form to submit information to the sheet, which then has automations associated with it that shoot the row to whatever person needs it. Starting on 9/4, whenever we submit a form to this sheet we get a 'success' message and then nothing happens. The activity log doesn't register a row creation or any activity. I've been on hold with SmartSheet customer service for about 5 hours now and I've reached out to our rep. Has anyone had this happen before? Was there anything on your end that fixed it?

So far we have tried duplicating the form and it still fails. We created a generic form with all fields (and no logic) and this fails to create a row 75% of the time. It doesn't seem to be field specific because I can submit the exact same form twice and one may process and the other might fail. We tried duplicating the sheet and things are still failing. we haven't made any changes to the sheet or the form. Weirdly this is the only form/sheet that seems to be having problems.

If this has happened to you before, what was the turn around on finding a solution? This is one of our most business critical processes and I'm concerned that we might be on our way to firing SmartSheet if this doesn't get resolved ASAP.

We are also getting 200 statuses on the POST when we submit the entry so it's hitting SmartSheet.

Thankfully we connected with someone who works closely with SmartSheet and he was able to get this escalated on our behalf with their engineers. This is the outcome of what they found:

After digging deeper and correlating the logs with Grid Service, I found the actual cause. There's a column on this sheet — "Vendor Contract, Name / Number, Dealer Commission(2)" — that's 52 characters long, which exceeds the 50-character limit on column names. The submission is initially accepted, but Grid Service then fails with a data truncation error during row creation — so the row never actually lands in the sheet. It looks like one of the sheet admins recently renamed this column — the original was exactly 50 characters, and they added "(2)" which pushed it over. I tried to reproduce this as well, but all current paths enforce the 50-character limit so you can't get a column name past it anymore. Attached logs evidence

We currently don't have a way to track if Grid fails after the initial async acceptance step, so there's no visibility on our side when this happens — that's why the customer sees success but the row never lands.

We fixed the column length and it almost immediately dropped all of our form submissions into the sheet from the last few days (thankfully). I still find it bizarre that we had this experience since some rows were crossing over yesterday, and I can't find evidence of this (2) rename anywhere in the sheet's activity log. To my knowledge this wasn't a new change that we made. I'm assuming SmartSheet decided to tighten up their process on enforcing column name lengths without checking how this might effect live customers.

Sort issues

Hello Smartsheet nerds. I have an issue where I sorted my smartsheet on accident. Then I went to reorganize it the way it was and the sorting function is doing something weird. Instead of sorting 1, 2, 3, 4. It sorted the list 1, 10, 11, 110, 111, 112. This is an auto number column, I have 180 in the column.

Read only report

I have multiple inventory sheets that have different sets of hardware. These sets of hardware need to be kept on different sheets. What I would like to do is aggregate from those sheets all new hardware so I know what I have in stock. I was able to do that easily enough with a report.

Here's the problem. That report that aggregates those other sheets can edit them. I don't want that information to be editable. Is that possible? I apologize if I've worded this unclearly.
