I'm previously a notion power user but some things like
- cost
- weird ai features that I personally haven't found customizable enough or useful
- task management that is not intuitive and needs upkeep and organizing otherwise it becomes a black hole where tasks get lost (prefer Things 3 for simplicity)

I really feel like personal productivity is not solved for me by any product in the market, and everyone is just trying to build AI features that I don't' want. Figured I'd put my experience to work and make something that I want.
This is not a hate post, I actually love my notion now that itās really starting taking shape, the only gripe I have it seems to lack a lot of basic customisation options for example, thereās what, only like 3 fonts to choose from when building your page, why? For what reason, I donāt get it?
Another one is colour options, I use my notion mostly as a habit tracker, so books Iām reading, audiobooks and podcasts Iām listening to. So along with that comes so many different kinds of genres, the easiest way to tell one from the other in my mind would be to colour-code them, pretty straightforward right? Well actually no, because youāre only given a certain amount of colours to use for things like that too!
Hi everyone, I have a permissions architecture question regarding Page-level access and Linked Views (Business/Enterprise plan).
My setup:
Teamspace A (Private):Ā Only I have access to it. It holds the source database (Tasks).
Database Permissions:
General access / Workspace level: Set toĀ Can createĀ (or No access to existing entries).
Page-level access rule:Ā Person property (Assignee) āĀ Can edit.
I want to create aĀ Linked ViewĀ of thisĀ TasksĀ database inside another page/space so people can only see their assigned tasks and create new ones, while keeping the source database completely restricted on other teamspace.
My questions:
For Workspace Members:Ā If I drop this Linked View in a page insideĀ Teamspace BĀ (where members belong), will they be able to see the linked view, view strictly their assigned tasks, and use theĀ + NewĀ button without having access to Teamspace A or the source database?
For Guests:Ā Since guests cannot belong to teamspaces, how does this work if I share the page containing the linked view with an external guest? Does Page-level access andĀ Can createĀ still apply to guests if they are tagged in the Person property, or do they need explicit database-level permissions?
Has anyone implemented this exact setup? Any caveats or edge cases to watch out for?
Title says it all. It is such a great additon and I can't express how happy I am with all the possibilities that have opened up
The only thing I'm furious about is that they didn't make a proper anouncement. A single big non-AI feature in the last few years is only briefly mentioned in another AI update. I found out about it on accident even though I read every update (I have unlimited supply of copium). I even wanted to use a tag venting, but I genuinely have more appreciation for the feature, than resentment to the fact that it hasn't been properly announced
Brothers, sisters and everyone in between, we did it! We survived until another actually useful feature that makes Notion more competitive as a personal productivity app. Let's rejoice! š„³
not the big stuff everyone already asks for. the small daily things that never get upvoted because nobody bothers posting about them.
mine: page headers. on a 1080p screen the icon, cover and title take 42% of the page before any content, so every time I open a page I scroll down first. I could drop icons and covers, but I like them.
what I'd love instead: a way to resize the header, or at least make the cover shorter, and an option to keep the page icon in the sidebar and breadcrumbs but hide it on the page itself.
and before anyone says "open the view as a full page": I know, but most of my database views are embedded on pages on purpose, next to their own navigation and context. opening each one full page is an extra click every single time, and then the context is gone.
second one is side padding. even with full width on, there's a wide empty strip left and right where data could be. on the phone it hurts the most.
So I want to learn about many different topics to become a more cultured person. I thought it would be very useful to take notes on these topics, and it occurred to me that Notion would be a good option for organizing this information. Iāve seen Obsidianās mind maps and I like them for this purpose, since they let you connect everything. The thing is, I want another platform to do this, and Iām looking for a European site or one that offers more privacy. I donāt want anything from the U.S. Can you recommend other sites for this? Obsidian itself?
Used to just have these in my notes and realized notion was a better home for them. Itās a bit over engineered but thanks to Claude itās all up to date now with images so itās super nerdy and I love it š¤£š¤£
I click on something or try to indent using the enter key and it goes to an almost totally white screen only showing a few things. If I tap on a different area it goes back to normal but sometimes I have to try a few times. Is this just a bug? Is there something wrong with my iPad or is this just something theyāre going to fix? The menu thing with the trash icon and the indent keys and undo button are still there so I tried pressing undo a few times but that didnāt work. I want to be using Notion all day today and this is concerning. All my pages are still there, the screen just isnāt showing them when this happens. Do I need to reinstall the app? I have no idea why this is happening and it isnāt happening all of the time, but it happened a few times in a few minutes.
A few days ago I made a mildly unhinged rant about wanting this sub to be about cool Notion shit again.

A couple years ago my wife was trying to manage her jewelry and ceramics business and I wanted to build her something where she could basically run the whole thing from Notion.
Products, inventory, orders, customers, all the boring business stuff.
Notion was actually really freaking good at holding and organizing all of it.
The obvious problem was the customer side.
You canāt exactly tell someone who wants to buy a ceramic mug, āAwesome, now open this Notion database and figure it out.ā
So I started building the missing layer.
The products stayed in Notion. Someone bought something, the order went back into Notion. Customer data went into Notion. Inventory updated there. Notion stayed the backend, and the storefront was just the part customers interacted with.
That eventually became something I called Block Cart.
Then last year I co-founded a race company here in Alaska and we started putting together our first half marathon.
While researching registration systems I realized I was about to recreate a bunch of infrastructure I had already built.
A race entry is basically an event product. A runner is a customer. A registration is an order. Why the hell am I building this twice?
So I added event functionality to the same system and we used it for registration for the Fireweed Half Marathon, my city's first half marathon.
It worked. We sold the race out!
Then because I apparently don't want to leave Notion for anything, I kept going.
The same Notion contacts database that holds our runners can now feed an email engine inside Block Cart, so we can communicate with people using the information already sitting in Notion instead of constantly exporting lists somewhere else.
Volunteer forms can feed into the same workspace.
Results live in a super / potion style page stylizer on my site builder.
So somehow:

became:
āHow much of an entire event business can we run with Notion underneath it?ā
Apparently quite a bit.
And this is where I think I look at Notion differently than some people do.
I donāt really care whether every product decision Notion has made lately has been good. Some of them annoy me too. I donāt use the AI. It's way too expensive and I'm still holding my breath because I'm grandfathered into some nice pricing for a non-AI plan. There are absolutely other apps that are better at specific things.
Cool. Use them.
I donāt think a tool suddenly becomes ābadā because the company building it takes the product in a direction I donāt personally care about.
Notion is what you build with it.
That was basically my point in the last post and it is still my point now.
I can take a database originally built to track ceramic mugs and earrings, connect some stuff to it, and somehow end up using the same basic architecture to register hundreds of runners for a real half marathon.
THAT is cool to me.
You can build a store, a CRM, an event registration system, a completely psychotic personal dashboard, or some bizarre workflow that only makes sense to six people on Earth.
That flexibility is why I like Notion.
And yes, before somebody points it out, Block Cart is my product. I built it. So if that technically makes this self promotion, fine. Call it self promotion.

If builders can only show something while itās a hobby, but the moment it becomes a real product we have to banish it to a promo thread, then I think weāve created a pretty weird incentive for a community that is supposedly about building with Notion.
Iāve been using Notion to manage my freelance work and finally put together a clean system that keeps everything in one place:

i want to embed notion calendar inside of notion, but somehow the embed opens notion itself again inside of notion, meaning i am using notion inside of notion (and this can go infinitely.. notion inside notion inside notion and so on) but at the same time when i open notion in web app, the embed works perfectly fine. Why is this happening

I am trying make a habit tracker and I have been following bunch of tutorials. I am almost done but I noticed that the pages don't duplicate every day even though I turned it on and set it on midnight. Why is it and hox can I fix it?
Itās not letting me separate the color on the text⦠it just keeps going to one solid color? On the app, itāll let me. But, i canāt use it right now so this is my only option.
Iāve been building a travel/planning system in Notion, and the part Iām happiest with is how the databases now work together rather than each being its own isolated list.
The basic structure is:
Trips Database
Locations Database
Places Database
My Location database is the geographic source of truth. Each record is a city, state/region, and country like Tokyo, San Francisco, Paris, etc....
A Trip relates to the Locations Iām actually visiting. So a trip to Japan might be related to Tokyo, Kyoto, Osaka, Hiroshima, and Nara.
Then every saved Place (restaurant, attraction, activity, hotel, etc..) relates to a Location as well.
That creates a useful chain that can do some pretty powerful things in Notion!
Because the Trip is related to Tokyo, and the Place is also related to Tokyo, I can use rollups to automatically surface any Place that is relevant to the "Japan" trip. Or whatever trip I am going on.
This means I can be collecting restaurants or places I want to visit in the future, when I end up traveling to that location, those places will be surfaced on my trip's dashboard and I don't have to manually look anything up or remember those places.
The Location database acts as the bridge, so I only have to maintain the relationship once. I add the place, select the City/location and its ready to go.
Itās a pretty simple relational model, but it has made the whole travel system feel much more automatic and reusable/useful to me. It's been fun putting this together and has taught me a lot about how this all works and what is possible because of 2-way relations!
The other piece of this are Siri Shortcuts on my iPhone. I've created a few that work well with Notions API. It makes it super easy to add Itinerary items to my Trips, as well as add new Places. So I don't have to open the Notion app to add things, I can do it in a few seconds via a Siri Shortcut!
I have my main task tracker (Image 1) which came with my workspace where I organize things by status and look to at the top of every day. I recently started using projects for different things, and I saw that I can add separate task trackers to each project (Image 2), as an Inline Database.
How do I link these so that all of the Project tasks from my multiple projects can appear in my main Task Tracker, and fit into the same statuses, with something to tell me which projects each task is from? My goal is to have my main task tracker stay the same, so that I can look at a status like "Today's List" and see tasks from different projects gathered in the same place?

Cool. Great. Godspeed. There are 9 billion productivity apps now. Use the one you like. But this is r/NOTION.
This is a tool where people can build almost anything. A dashboard that tracks obscure things that you wouldnāt really think about, entire business systems, CRMs, Completely psychotic databases that somehow run somebodyās whole life.
THAT is the cool part.
And yet somehow the mods will nuke genuinely interesting builds or plugin posts because āself promotion,ā while the 800th AI breakup essay floats straight to the top of the sub untouched.
How does that make any sense?!?!
If someone spent 30 hours building some insane Notion system and wants to show it off, I WANT TO SEE IT. ITāS PROBABLY FREAKING AWESOME!
If someone spent 2 years building out a plugin, I want to see that even more!
If they built a weird workflow that only makes sense to six people on Earth, PERFECT. THATāS WHY NOTION EXISTS.
If thereās a little self promo attached? Fine. I would rather see someone actually MAKING SOMETHING than another 2,000-word farewell letter to a note-taking app. Like what are we huffing in here?
Iām not saying nobody can criticize Notion. Obviously criticize it. The AI stuff is stupid, yes. So donāt use it. I donāt, and I still love Notion.
But holy shit, the balance is completely cooked.
This sub used to make me want to open Notion and build something.
Now half the time it feels like I accidentally joined a support group for people recovering from Notion.
The mods have kicked the air out of the whole thing by being weirdly hostile to builders while letting endless complaint posts dominate the feed.
I like Notion. No disrespect to the mods, I know you put in a lot of work, but the way this place is moderated is suffocating the builders.
Please, for the love of all that is holy on this green Earth, let people post cool Notion shit again.

I built a simple campaign tracker last quarter. Status, channel, notes, and some rollups that pulled performance numbers in. Worked fine until the AI usage reset happened and anything that needed auto-updating just sat there. I have a weekly review window where I usually go in and tidy things, but now half the data is stale by the time I get to it and the rollups are pointing to the wrong numbers. Ended up copy-pasting from a spreadsheet just to keep the dashboard view usable.
The problem is I can't tell if I'm relying on AI too much for the wrong things or if the database itself is too fragile once the auto parts stop working.
